Privacy Notice

Introduction

Roundups Fundraising Services Ltd, trading as CharityBI, understands that your information is important and in the wrong hands, it poses a risk to your rights and freedoms. In order to help you to protect your information this notice will explain what information we collect, why we collect it, what we do with it, how long we keep it for, who can access it and what your rights are.

What personal data do we collect?

As part of our contract with you to provide our Data Management and Analytics services we need to collect the following information;

  • Contact details (names, email addresses, phone number)

  • Device information (IP address, MAC address, screen size, operating system etc.)

  • Browsing behaviour (areas visited, actions taken etc.)

  • Financial information (Transaction numbers, invoice numbers, payment history)

What do we do with your personal data?

We use the personal data to allow you to login to our system, raise and action support tickets, monitors for issues and take payments. 

Your personal data is processed in the cloud (where the system is hosted), our ticketing system and our accounts system.

 

How will our use of personal data affect you?

Providing inaccurate or incomplete information may result in you being unable to login, your support requests not being correctly actioned, or your service being stopped.

Information you provide may also be passed credit agencies in the event of non-payment which may affect your credit score.

 

Who can access your personal data?

Only ourselves and or trusted suppliers are able to access your data. Any suppliers that have access to your personal data undergo regular due diligence to ensure the suitability and capability as well as having a legal agreement in place.

We will never sell or share your data with another organisation unless you have consented, or there is an overriding legal obligation for us to do so.

 

How long do we store your personal data?

Invoices are held for a period of seven years as per legal requirements for this data.

Login and contacts details are keep for the duration of the service contact plus a period of 2 years.

Support tickets are held for a period of three years then deleted.

If we are subject to legal proceeding we may retain records relating to the proceeding for longer than periods specified.

How do we protect your personal data?

All data you provide is kept secure and any staff or contractors that handle this data have a commitment and the necessary training to keep it private and secure. We have a number of policies and procedures in place to ensure that data is handled correctly, kept secure, and have implemented the necessary technical and organisational controls to support these.

 

What are your rights?

You can; 

  • Request a copy of the data we hold on you. If you wish to do this then email your request to hello@charity.bi 

  • Request that we correct or update the data that we hold on you. If you wish to do this then email your request to hello@charity.bi 

  • Request that we delete the information we hold on you. If you wish to do this then email your request to hello@charity.bi 

  • Request that we keep your data but do not use it. If you wish to do this then email your request to hello@charity.bi 

  • Request that we send a copy of your data to another organization. If you wish to do this then email your request to hello@charity.bi 

  • Object to how we are using data. If you wish to do this then email your request to hello@charity.bi 

  • Raise a complaint with the Information Commissioner’s Office about us.  If you wish to do this then visit the ICO website and follow their instructions.

  • Take the Information Commissioner’s Office or us to court. If you wish to do this then use the contact information at the end of this notice to contact us.

  • Withdraw consent to process your data at any time. If you wish to do this then contact us, or click the unsubscribe link in the marketing emails you are sent from us.

Additionally, we must inform you of the following:

  • If we suffer a data breach and your data is affected in a way that it poses a risk to your rights and freedoms.

  • If we carry out your request to correct/update, erase or not use your data
